How requests, quotes, bookings and service arrangements work with FUYU Concierge.
Last updated:
This website is operated by Cos Sports 合同会社 (FUYU SKI School). FUYU helps arrange accommodation, lessons, transfers, rentals, restaurants and winter activities, and provides quotes and collects payments centrally.
Travel agency registration: 北海道知事登録旅行業第地域-976号.
Partners may deliver individual services. Each provider, FUYU’s contractual role and the applicable terms must be explained before booking.
FUYU Concierge recommends and arranges accommodation and assists with ski and snowboard lessons, transfers, equipment rental, restaurant reservations and winter activities. Services are delivered by FUYU or partner hotels and suppliers. The provider is identified before booking.
Prices are based on FUYU’s final email quotation. The quotation specifies the services, dates, party size, room type, currency, total, inclusions and exclusions, and payment deadline.
Any additional taxes, service fees, payment fees or other necessary charges, including their amounts or calculation methods, will be disclosed before payment.
Submitting an enquiry form or receiving an acknowledgement only confirms that FUYU has received your request. It does not confirm a reservation.
After checking availability and prices with the hotel, FUYU will send a payment notice. Full payment must be made within 24 hours after FUYU sends that notice. The notice will specify the payment deadline.
If payment is not made by the deadline, the price and availability will not be held and the booking request will lapse. Contact FUYU for a new availability and price check if you still wish to proceed.
Payment is accepted by credit card or bank transfer, following the instructions provided by FUYU.
Once payment is received and verified, FUYU will complete the booking process with the hotel and issue a formal booking confirmation. The accommodation arrangements are those stated in that confirmation.
Services are provided on the check-in, check-out, lesson, transfer, rental, restaurant or activity dates and times stated in each confirmed booking.
This policy applies to FUYU accommodation bookings with a check-in date from December 1 through April 30 of the following year, inclusive.
The following cancellation and change rules apply from the time the guest receives FUYU’s formal booking confirmation.
Payment and cancellation conditions for other check-in periods, lessons, transfers, equipment rental, restaurants and activities are explained separately in the individual quotation and before booking. This accommodation policy does not automatically apply to those services.
To cancel, email fuyuskischool@gmail.com with your booking reference and the name on the reservation.
The cancellation date is the date, in Japan time, on which the email actually reaches FUYU’s inbox, including emails received outside customer service hours. It is not the date on which FUYU replies.
Days are counted backwards from the check-in date using calendar days in Japan time, excluding the check-in date itself. Providing necessary refund information later does not change the original cancellation email’s receipt date.
| When FUYU receives the cancellation notice | Cancellation charge | Refundable room charges before refund-related deductions |
|---|---|---|
| 62 or more calendar days before check-in | 20% of room charges | 80% of room charges |
| From 61 calendar days before check-in through the check-in date, inclusive | 100% of room charges | No refund |
Cancellation charges are calculated using the room charges stated in FUYU’s final quotation.
Where a refund is available, the following applicable fees are also deducted from the refundable amount:
FUYU will complete its refund processing within 7 calendar days after receiving both the cancellation email and the necessary refund information.
The time for the refund to appear on a card or in a bank account depends on the card issuer and receiving bank.
For groups booking 5 or more rooms, cancellation deadlines may be negotiated at the enquiry stage. Any separately agreed conditions must be confirmed in writing before payment.
The cancellation charges above apply when a guest chooses to cancel or change an accommodation booking. If the hotel or FUYU cannot provide an agreed service, the guest-initiated cancellation rules do not automatically apply; the situation is handled under applicable law and the contract.
This policy does not limit any consumer rights that cannot be excluded under applicable law.
Before booking, guests must read and explicitly agree to the proposal’s payment, change, cancellation and refund conditions. Winter accommodation is subject to the FUYU winter accommodation cancellation policy above. The exact hotel administration fee and other applicable charges must be disclosed before payment. Separately negotiated cancellation deadlines for groups of 5 or more rooms must be confirmed in writing before payment.
The accepted proposal version, full terms and agreement time are retained. Changes to price, dates, room or terms require a new proposal and agreement. Unconfirmed conditions cannot be treated as accepted. Requests still under discussion may be changed or withdrawn; this is separate from cancellation charges that apply after receipt of a formal booking confirmation.
Snow, wind, road conditions or supplier changes may affect arrangements. FUYU will help communicate available options. Guest-initiated accommodation cancellations due to weather or transport disruption remain subject to the applicable accommodation cancellation conditions and are not automatically free of charge. If the hotel or FUYU cannot provide an agreed service, applicable law and the contract apply. Rescheduling, alternatives and refunds for other services are confirmed before the individual booking.
Winter accommodation cancellation conditions in Niseko can be strict. We strongly recommend travel insurance for changes caused by weather, flights or transport disruption. Check cover and exclusions for trip cancellation, interruption, delays and skiing activities with your insurer. Coverage and claim payments depend on the policy terms and the insurer’s assessment.
Provide accurate traveler and contact details, with permission from companions or their guardians. Party size, age, ability and equipment measurements affect the services that can be arranged.
Age, health, ability, insurance and safety requirements must be confirmed for each service. Do not include login codes or card details in general notes.
My Trip requires sign-in and permission to access that trip. Protect your email account and do not impersonate others, access their trips or interfere with the website.
Further details on liability, insurance, governing law and dispute procedures remain to be confirmed. These terms do not exclude statutory consumer rights or impose a blanket exclusion of liability.
